Federal personnel records can show more than one service computation date. A date used to determine leave accrual is not automatically the date or service total used to determine a pension.
Retirement coverage, deposits, military service, refunded contributions, breaks and nonpay periods can produce different treatment for different purposes. Treat an SCD as a labeled field with a supporting history, rather than a single career anniversary that answers every benefits question.
Create a purpose-specific crosswalk
| Field or question | Supporting record |
|---|---|
| Leave service date | Personnel-system field and agency leave-credit determination |
| Retirement eligibility service | Certified history identifying qualifying periods and exclusions |
| Annuity computation service | Agency calculation showing deposits, refunds and adjustments |
| Military credit | Orders, service certification and applicable deposit determination |
| Unresolved difference | Dates, disputed interval and office responsible for the answer |
Record the field's exact label, the system or document displaying it and the date you checked it. NFC's public crosswalk distinguishes service-date fields; that distinction is useful even when your employing agency uses another personnel platform.
Do not change a date yourself to make two systems agree. Ask HR which record is authoritative for the purpose in question and how a correction flows to payroll and the retirement estimate.
Follow each disputed interval
Suppose two records differ by several months. List the beginning and ending dates of the interval that could explain the difference, then ask about its treatment. Do not assume the discrepancy represents an error or missing entitlement.
A personnel action may establish an appointment but not prove a deposit was paid. A payment receipt may establish money was received but still require confirmation of the credited period. Keep both forms of evidence connected.
Unused sick leave is another separate question: ask how it affects computation, rather than adding it to an eligibility date. Part-time service also needs its own schedule and computation review.
Ask for a written reconciliation
- What does each service-date field control?
- Which periods differ between leave, eligibility and computation?
- Are military deposits or civilian redeposits unresolved?
- Is the estimate using the corrected record?
- Which office owns the correction and confirmation?
- When should you request a refreshed estimate?
Use the part-time records guide and military retired-pay guide for those particular intervals. Resolve the crosswalk with your agency before using a general retirement illustration or setting a separation date.
